ToDo List macro

The ToDo List macro lets Confluence users quickly create and manage task lists directly within a page. It’s designed to help teams organise action items, track progress, and improve collaboration, all without needing external task management tools.

This macro is ideal for meeting notes, project planning, personal task lists, or any scenario where a lightweight task manager is needed inside Confluence.

📝 Add Task

Allows users to add new tasks to the list. Each task can include:

  • A short description

  • Optional colored tags

  • An initial status (default: to-do)

Tasks are added at the bottom of the list by default.

✏️ Edit Task

Enables modification of an existing task’s content. This action helps keep task details up to date as work progresses.

🗑️ Delete Task

Removes a task from the list permanently.

🎨 Change Colored Tags

Tasks can be labeled with one or more colored tags for categorization or filtering. Users can:

  • Select from predefined tag colors

  • Assign multiple tags per task

✅ Change Task Status

Lets users update a task’s status to reflect its current progress. Statuses are visually marked, making it easy to scan task states at a glance.

↕️ Change Tasks Order

Users can drag and drop tasks to rearrange their order. This allows for prioritization or logical grouping within the list.

ToDo Report macro

The ToDo Report macro displays a dynamic overview of tasks from multiple ToDo List macros across one or more Confluence pages.

It helps teams stay on top of outstanding work by centralising tasks in a single view — filtered and sorted based on your needs. Whether you're managing a project, tracking team responsibilities, or preparing for a meeting, this macro gives you quick visibility into what’s pending and who’s responsible.

Export to CSV

Both the ToDo List and ToDo Report macros include an Export to CSV feature that allows you to download task data as a .csv file. This makes it easy to archive, share, or analyze your tasks using tools like Excel, Google Sheets, or project reporting software.

How It Works

Each macro displays an "Export CSV" button at the top-right corner of the task list. Clicking this button will download a .csv file containing all visible tasks currently shown in the macro.

  • In ToDo List, this includes all tasks listed in that specific macro instance.

  • In ToDo Report, it includes all tasks shown in the macro that are coming from multiple ToDo Lists.

What's Included in the CSV

The exported file contains the following columns:

  • Task Description

  • Status (e.g., Pending, Completed)

  • Tags (if any)

  • Creator

  • Created Date

  • Preparing task summaries for stakeholders

  • Creating progress reports

  • Importing tasks into other tools for extended analysis

  • Archiving completed work
